Ultimate Staffing is seeking a professional, organized, and personable Administrative Assistant to support a well-established engineering firm in the Rockville, MD area. This is a contract-to-hire opportunity with a collaborative team known for its strong employee retention and positive workplace culture.

  • Hybrid schedule
    • In-office: Tuesday, Wednesday, Thursday
    • Remote: Monday and Friday
  • 8:30 AM - 5:30 PM

Pay Rate

Up to $26.00 per hour dependent on experience

Position Overview

We are looking for a highly organized Administrative Assistant who enjoys being the go-to resource for an office team. This role is ideal for someone who excels at multitasking, has strong communication skills, and enjoys creating a welcoming and professional office environment. You will serve as a key point of coordination for office operations, vendor relationships, employee support, and administrative projects.

Responsibilities

  • Prepare and process expense reports, including gathering receipts and maintaining supporting spreadsheets
  • Manage calendars and coordinate meetings through Outlook
  • Send meeting invitations and assist with event scheduling
  • Coordinate catering orders for meetings, breakfasts, lunches, and special events
  • Order and maintain office supplies, snacks, and workplace essentials
  • Serve as the primary contact for building management and office maintenance requests
  • Arrange travel accommodations and itineraries for team members
  • Distribute incoming mail and oversee office correspondence
  • Manage office seating and workspace assignments for employees visiting the office
  • Assist with document formatting, branding, and presentation consistency
  • Communicate professionally with vendors and external partners
  • Draft and edit professional business communications
  • Support general office operations and administrative projects as needed

Qualifications

  • Previous administrative, office coordination, or executive support experience preferred
  • Proficiency with Microsoft Outlook, Word, and Excel
  • Strong written and verbal communication skills
  • Excellent organizational and time-management abilities
  • Professional demeanor with a customer-service mindset
  • Ability to work independently and manage multiple priorities
  • Detail-oriented and proactive problem solver
